We are currently seeking a full-time Front Desk Supervisor in the (North Raleigh), Raleigh NC area!

The Dermatology Office Supervisor is a very organized, friendly, people oriented team player. The Dermatology Office Supervisor must have excellent customer service skills, strong cash management experience and a thorough understanding of provider scheduling and insurance carrier requirements. The Dermatology Office Supervisoris a hands-on leader and an innovative problem solver that has direct contact with patients as well as direct oversight of all front desk operations and personnel. The Dermatology Office Supervisor works closely and collaboratively with the Center Manager.

Responsibilities:

Front Desk Operations

  • Trains, cross–trains, and retrains all front office personnel
  • Participates in the selection of front office personnel
  • Supervises and manages staffing scheduling at the front desk. Appropriately flexes time, tracks time out, and ensures the front desk has adequate support for the days
  • Supervises workload and ensures completion of all necessary tasks
  • Maintains working relationships and communicates effectively with entire staff
  • Conducts regularly scheduled meetings of front office personnel
  • Ensure that employees are attentive, friendly, helpful and courteous to all patient, managers and other employees
  • Review daily front office work and activity
  • Under direction of the manager, monitors and edits time clock as needed
  • Oversees all steps within the patient Check-In and Check-Out process
  • Actively serves in all front desk roles with a strong hands on / lead by example, approach
  • Utilize “soft selling” skills to increase existing patient business on procedures and product sales.
  • Maintain knowledge and proficiency in skin care products, procedures and promotions; assist patients with applying current promotions to services they may be inquiring about
  • Ensure compliance with all established company policies and procedures
  • Monitor patient flow and adjust front office scheduling assignments as needed
  • Routinely communications with the patients; apologizing for any delays or scheduling conflicts
  • Actively monitors the patient waiting room experience
  • Routinely inspects the waiting room area, checks for cleanliness, magazines are current, and that refreshments are available to our patients where appropriate
  • Other duties as required by manager
Productivity and Accounting
  • Works closely with front desk staff on cash collections at the time of service; reporting on any goal variances
  • Ensures proper cash management and daily close protocols are in place
  • Monitor denial reports to improve front-end processes, when appropriate, to offset future denials, report out on any variances and develop corrective action plan
  • Monitor transactions in various software platforms to ensure sales credits are appropriately assigned for provider compensation reporting
  • Ensures front desk staff follow procedures for accounting and day-end reconciliation/cash management
  • Ensure deposits are completed daily, reconciled to the batch of the day with proper segregation of duties for both medical and cosmetic. Ensure deposit slips are returned and placed with the batch; report any discrepancies to Center Manager
  • Provides routine support to the Center manager and Clinical Supervisor for asset and inventory management from medical, cosmetic, retail, and office supplies
  • Receives, signs, logs and disburses inventory to intended personnel
Compliance and Regulatory:
  • Familiarity with PHI regulations, records retention both digitally and on a paper with a clear understanding of HIPAA, PHI and PII management and reports any security concerns immediately to the Center Manager
  • Under the guidance of the Center Manager, reconciles all daily, weekly, monthly cash posting processes
  • Provide ongoing feedback regarding effectiveness of advertising and promotional efforts

Requirements

Required Education:

  • Associates Degree with at least 2+ years of demonstrated front desk with experience in a medical office setting OR
  • High School with at least 5+ years of demonstrated front desk experience with experience in a medical office setting

    Required Experience:

    • EHR experience required
    • Strong aptitude in a technology within a state-of-the-art environment
    • Ability to competently use Microsoft Office, including Word, PowerPoint, Excel,
    • Efficient multi-tasker in a face paced environment
    • Accounting / cash management experience
    • Credit card batching

      Preferred:

      • Dermatology, Cosmetic or Plastic Surgery experience
      • Athena, EMA, Mindbody experience strongly preferred
      • MGMA, HFMA or AAPC memberships and affiliations
      • LEAN, Six-Sigma experience
